Privacy Policy

1. About this policy

This Privacy Policy explains how Asia-Pacific New Energy Alliance (“APNEA”, “we”, “us” or “our”) collects, uses, discloses, protects and retains personal data in connection with https://joinapnea.org, APNEA membership, participation enquiries, events, publications and related activities.

APNEA is based in Singapore. This policy is intended to operate consistently with the Personal Data Protection Act 2012 of Singapore and other applicable data protection requirements.

2. Personal data we collect

Information you provide directly. This may include your name, work email address, telephone number, country, organisation, role, professional profile, areas of interest, membership category, application responses, contribution proposals, correspondence, supporting documents and any other information you choose to provide.

Information collected through forms. Membership, Get Involved and Contact forms may record the information entered, submission date, technical metadata and, where enabled for security, the submitting IP address.

Website and analytics information. When analytics is enabled with your permission, we may collect information such as browser and device type, approximate location derived from IP address, pages viewed, referring page, interaction events, session information and cookie identifiers.

Security and anti-abuse information. Google reCAPTCHA or a similar service may process device, browser, IP address and interaction information to assess whether a submission is likely to be made by a person or an automated system.

3. How we use personal data

We may use personal data to operate, maintain, secure and improve the website; respond to enquiries; assess and administer membership applications; assess participation or collaboration proposals; communicate with applicants and members; organise working groups, events and publications; maintain records; prevent fraud, abuse and security incidents; understand website use; and comply with legal, regulatory or contractual obligations.

We will not use personal data for a materially different purpose without providing further notice or obtaining consent where required.

4. Consent and other permitted bases

Where the Singapore PDPA requires consent, we will notify you of the relevant purposes and obtain or rely on consent in an appropriate form. In some circumstances, collection, use or disclosure may also be permitted without consent under the PDPA, including where necessary for legitimate interests, business improvement, legal requirements, investigations, safety or other recognised exceptions.

You may withdraw consent by contacting us. Withdrawal does not affect processing that occurred before withdrawal and may prevent APNEA from continuing to provide a service, assess an application or maintain a relationship.

5. How we disclose personal data

We may disclose personal data to authorised APNEA personnel, committee or working-group administrators, website and hosting providers, email and cloud service providers, professional advisers, auditors, technology vendors and other service providers that support the purposes described in this policy.

Our website uses WordPress and Forminator. Depending on configuration, form submissions may be stored in the WordPress database and sent by email to authorised recipients. Google Analytics may process website usage information after analytics consent is provided. Google reCAPTCHA may process information needed to protect forms from spam and abuse.

We may also disclose information where required by law, regulation, court order or a competent authority, or where reasonably necessary to protect APNEA, its users, members or the public. We do not sell personal data.

6. Overseas transfers

Some service providers may process or store personal data outside Singapore. Where the PDPA applies, APNEA will take reasonable steps to ensure that transferred personal data receives a standard of protection comparable to the protection required under Singapore law, including through contractual, organisational or technical safeguards where appropriate.

7. Retention

Unsuccessful, withdrawn, incomplete or inactive membership and participation applications are normally retained for up to 12 months from the final decision or last meaningful activity, unless a longer period is reasonably required for legal, dispute, audit, safeguarding or operational reasons.

General enquiry records that do not result in an ongoing relationship are normally retained for up to 12 months after the enquiry is closed or the last meaningful contact. Records relating to approved members, active projects, publications or continuing relationships may be retained for the duration of the relationship and for a reasonable period afterwards.

Analytics, security and cookie data may be retained according to the relevant platform settings and operational requirements. Aggregated or anonymised information may be retained for longer where it no longer identifies an individual.

8. Security and accuracy

APNEA uses reasonable administrative, technical and organisational measures to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, disposal or loss. No website, email or storage system can be guaranteed to be completely secure.

Please provide accurate and current information. You may contact us to request correction of personal data that is incomplete or inaccurate.

9. Your requests and choices

You may contact privacy@joinapnea.org to ask about personal data held by APNEA, request access or correction where applicable, withdraw consent, raise a privacy concern or ask us to review whether particular information should still be retained.

We may need to verify your identity and the scope of the request. Rights are subject to applicable legal exceptions, and APNEA may retain information where required or permitted by law.

10. Membership and participation age requirement

Membership and formal participation applications may only be submitted by individuals who are at least 18 years old. A person applying for or on behalf of an organisation must also have authority to provide the information and make the submission.

11. Cookies and similar technologies

The website uses necessary technologies to operate and protect the site. With your permission, it may also use analytics cookies to understand usage and improve performance. Please read the Cookie Policy and use the cookie settings control for more information and available choices.

12. External links

The website may link to third-party websites and services. Their privacy practices are governed by their own notices, and APNEA is not responsible for those practices.

13. Changes to this policy

We may update this policy to reflect changes in our activities, technology or legal obligations. The current version will be published on this page with an updated effective date.
